Terms of Service

1. Agreement

By creating an account and using matchbase.io (“Service”), you agree to these Terms of Service. If you do not agree, do not use the Service. The Service is operated by matchbase.io, based in the Netherlands (“we”, “us”, “our”).

2. The Service

matchbase.io is a SaaS platform for independent recruiters that provides AI-powered candidate CV scoring, structured profile storage, and vacancy matching. We provide the Service on an “as is” basis and may update, modify, or discontinue features at any time.

3. Account

You must provide accurate information when registering. You are responsible for keeping your password secure and for all activity under your account. Notify us immediately at hello@matchbase.io if you suspect unauthorised access.

Accounts are for individual use. You may not share login credentials or allow others to access the platform through your account.

4. Trial period

New accounts receive a 7-day free trial. No payment is required to start the trial. At the end of the trial, access requires an active paid subscription. We will not charge you without your explicit action to subscribe.

5. Subscriptions and payment

Subscriptions are available on the following terms:

• Monthly — €18.00 per month, ex VAT. Billed monthly.
• Annual — €180.00 per year, ex VAT. Billed annually (equivalent to €15/month).

Dutch VAT (21%) is added at checkout for customers in the Netherlands. EU B2B customers with a valid VAT number benefit from the reverse-charge mechanism. VAT invoices are generated automatically by Stripe.

Payments are processed by Stripe. By subscribing, you authorise Stripe to charge your payment method on a recurring basis. Subscriptions auto-renew unless cancelled.

6. Cancellation and refunds

You may cancel your subscription at any time from the Account page → Manage subscription. Cancellation takes effect at the end of the current billing period — you retain access until then.

Monthly subscriptions — no refunds for partial months already paid.

Annual subscriptions — if you cancel within 14 days of your annual renewal and have not used the Service during that period, contact us for a pro-rata refund. Refunds are not available outside this window.

7. Candidate data and GDPR

When you upload CVs or invite candidates to submit their CV, you are acting as the data controller for that candidate personal data. matchbase.io processes candidate data as a data processor on your behalf.

You are responsible for:

• Having a lawful basis for processing each candidate's personal data
• Informing candidates how their data is processed
• Honouring candidate requests for access, deletion, or portability

We process candidate data solely to provide the Service. Our processing is governed by our Privacy Policy.

8. Acceptable use

You may not:

• Use the Service for any unlawful purpose
• Upload CVs without the candidate's knowledge or consent
• Resell, sublicense, or redistribute access to the Service
• Attempt to reverse-engineer, scrape, or interfere with the Service
• Use the Service to discriminate unlawfully in hiring decisions

9. AI-generated content

Candidate scores, match rankings, and CV summaries are generated by AI and are provided for informational purposes only. They do not constitute professional recruitment advice. You are responsible for verifying any AI output before making hiring decisions.

10. Limitation of liability

To the maximum extent permitted by Dutch law, matchbase.io's total liability for any claim arising from your use of the Service is limited to the amount you paid us in the 3 months preceding the claim.

We are not liable for indirect, incidental, special, or consequential damages, including loss of revenue, loss of data, or lost business opportunities.

11. Termination

We may suspend or terminate your account if you breach these terms, fail to pay, or use the Service in a way that harms others or the platform. We will provide notice where reasonably possible.

On termination, your data is retained for 30 days (for recovery), then deleted, except billing records retained for legal compliance.

12. Governing law

These Terms are governed by Dutch law. Any disputes shall be subject to the exclusive jurisdiction of the courts of the Netherlands.

13. Changes

We may update these Terms. For material changes, we will notify you by email at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance.
